Stamping Documents
Stamping is the process of filling your PDF template with data and generating completed documents. Each row in your dataset produces one filled PDF.
Prerequisites
Before you can stamp, ensure:
- ✅ A PDF template is uploaded
- ✅ At least one field is mapped (Dynamic or Static)
- ✅ A data file is imported (for Dynamic fields)
- ✅ Your subscription has available actions remaining
The Stamping Process
1. Review Your Configuration
Before stamping, review the field mapping summary to ensure:
- All critical fields have a value type assigned.
- Dynamic fields are mapped to the correct columns.
- Static values are correct and final.
2. Import Your Data
Navigate to the data section and import your spreadsheet:
- The column headers should match the column names used in your field mappings.
- Each row represents one document to be generated.
- Empty cells in dynamic columns will result in blank fields.
3. Stamp
Click the Stamp button to begin generation. Formstamper will:
- Validate all field mappings against the available columns.
- Process each data row sequentially.
- Fill the PDF template fields with the corresponding values.
- Apply any text formatting (fonts, currency formatting, etc.).
- Save each generated document with the configured naming pattern.
- Package all documents into a downloadable ZIP archive.
4. Download
Once stamping is complete, the download begins automatically. You'll receive a ZIP file containing all generated PDFs.
Action Usage
Each stamped document counts as one action against your subscription's monthly limit.
Example: If you stamp a template with 50 data rows, that uses 50 actions.
Check your remaining actions on the Account page or in the admin dashboard.
If your action limit is reached mid-batch, the remaining documents will not be generated. Upgrade your plan or wait for the next billing cycle.
Troubleshooting

| Blank fields in output | Check that the column name in your mapping matches the spreadsheet header exactly (case-sensitive) |
| Wrong data in fields | Verify the field-to-column mapping in the Field Mapping panel |
| Missing documents | Ensure your data file has the expected number of rows |
| Format errors | Check that currency/date formats match your data |
| File too large | Split your data into smaller batches |
